Getting started with PlanScan

PlanScan reads your construction documents, highlights your keywords across every page, summarizes the flooring scope, and, once you connect MeasureSquare, pushes the materials it finds straight into an M2 project. Setup is two one-time connections: you authorize MeasureSquare with OAuth2, and you add your MeasureSquare Cloud API key. Both live on the Settings page. Here's how to sign in, set them up, and use PlanScan.

Signing in & access
Sign in with your MeasureSquare account.

Go to prototype.measuresquare.com/planscan and choose sign in or create an account. Use MeasureSquare's own sign-in page and return here after signing in with your MeasureSquare account.

Everyone can start with 3 scans using a free MeasureSquare account. Each PDF counts as one scan, including all its pages. When your scans run out, request more in the app for an administrator to approve.

Using PlanScan

The core loop: create a project, upload plans, let the AI scan and summarize, then dig in.

  1. 1. Create a projectFrom Projects, click New project and give it a name. Each project is its own set of documents, keywords, and analysis. Open a project to land in its workspace.
  2. 2. Upload your documentsDrag a whole project folder — or individual PDFs — into the Upload box. Subfolders are fine. Large plan sets upload in the background; you can keep working while they finish.
  3. 3. Every page is OCR-scannedPlanScan reads each page with OCR, so even scanned or image-only PDFs become fully searchable. Watch progress per document; pages turn searchable as they finish.
  4. 4. Keywords are highlightedYour managed keyword list is matched against every page and highlighted on the plans, with a match count per page. Manage the list from the keyword panel — it's shared across your projects.
  5. 5. Review the scan resultsWhen scanning finishes, PlanScan opens Results. Review the scope summary, addenda, hidden risks, takeoff sheets, materials, and project chat without leaving the project flow.
  6. 6. Export what you needSelect documents or pages and export a highlighted PDF to share the marked-up plans.
The Results workspace
Completed projects open on their findings; use Evidence to keep a match beside its source page.
  • Summary — Review the primary scope and open its cited evidence beside each source page.
  • Addenda & Hidden Gems — Compare addenda and surface requirements that are easy to miss.
  • Takeoff Sheets — Identify the takeoff-relevant sheets and include/exclude them for the push.
  • Materials — The AI proposes materials; review, edit, and mark which to include in M2.
  • Chat — Ask questions about the documents in plain language.
Authorize MeasureSquare (OAuth2)
Required to open projects in MeasureSquare 8 and to link them to CRM deals. Signing in to PlanScan with MeasureSquare authorizes it automatically; use these steps if the card asks you to authorize again.
  1. 1
Open SettingsUse the navigation menu at the top left and choose Settings, or go straight to prototype.measuresquare.com/planscan/settings. You'll see two cards: MeasureSquare CRM and MeasureSquare Cloud.
  2. 2
Click Authorize MeasureSquareIn the MeasureSquare CRM card, click Authorize MeasureSquare. PlanScan hands you off to MeasureSquare's own sign-in page. Sign in with your MeasureSquare account and approve access.
  3. 3
You're returned to PlanScan automaticallyThe Settings card then shows Authorized with OAuth2 along with your organization and email. Access refreshes on its own, so you shouldn't need to do this again. There is no token to copy or paste: PlanScan keeps the refresh credentials encrypted on its server and never shows them to the browser.

You can also authorize without leaving a project: choose Send in the bottom bar, open Link to CRM, and click Authorize MeasureSquare there. Use Reauthorize if you ever switch MeasureSquare accounts, and Disconnect to revoke it.

Connect your MeasureSquare Cloud API key
A separate credential from the OAuth2 step above, and also required to create M2 projects from PlanScan. You only do this once.
  1. 1
Generate your Cloud API keyIn MeasureSquare Cloud, open Group Settings → API Key and copy the key. Only a Group Admin can generate it — if you're not one, ask your admin for the key. Note your Cloud login email (your m2Id) too.
  2. 2
Add it in PlanScanGo to Settings and use the MeasureSquare Cloud card. You can also do it from inside a project: choose Send in the bottom bar, then click Connect MeasureSquare Cloud, enter your MS Cloud login (email) and paste the Cloud API key, then click Connect. Your key is encrypted at rest and never sent back to the browser.
  3. 3
Open a project in MeasureSquare 8In the Materials tab, mark the materials to include and choose your takeoff sheets, then use Open in MeasureSquare 8 in the bottom bar. This button needs both connections in place (MeasureSquare authorized and the Cloud key added) and runs on Windows. PlanScan creates a FloorCovering project in your Cloud account, pushes the selected products into it, and opens it in MeasureSquare 8. Use the smaller Create cloud project option when you only want to create the Cloud project, or Download FEZ to save the selected sheets as a local MeasureSquare file. (Cloud can't store PDFs, so the source sheets are referenced in the project note.)

You can update or remove the key anytime from Settings or the same bar (disconnect). Rotating your Cloud key later? Reconnect there with the new value.

Troubleshooting
SymptomWhat to do
No scans remainingYour first 3 scans are included. Request more scans in PlanScan for an administrator to approve. Saved projects remain accessible.
An import failed or stoppedOpen the document and choose Retry scan. A saved PDF resumes without another scan charge. If the original upload was interrupted, select the PDF again to finish uploading it.
“Open in MeasureSquare 8” is greyed outIt needs four things: Windows, MeasureSquare authorized with OAuth2, the Cloud API key connected, and at least one sheet selected. Open Settings and confirm both cards show as connected.
MeasureSquare authorization didn't stickOpen Settings and click Reauthorize on the MeasureSquare CRM card. Use the same account you use for MeasureSquare. Do the same after switching MeasureSquare accounts.
Connect MeasureSquare Cloud is disabledThe server's encryption key isn't configured — contact your administrator.
Cloud connect rejectedCheck the login email and re-copy the key from Group Settings → API Key (Group Admin only). The key may have been rotated.
Some materials didn't pushA few rows can be rejected by Cloud for type/unit mismatches; the others still go through. Adjust the material and re-push.
